Refund and Cancellation Policy
1.Introduction
This Refund and Cancellation Policy governs all services provided by G Systems, including but not limited to IT Consulting, CTO as a Service, Software Development, Cloud Consulting, AI Solutions, Digital Marketing, Application Development, Training, Managed Services, and related professional services.
By engaging G Systems and making any payment, the Client acknowledges and agrees to the terms outlined below.
2.Cancellation by Client
2.1 Before Project Commencement.
If the Client cancels the engagement before project initiation and before any work has commenced:
- Any advance payment received may be refunded after deducting administrative, banking, and proposal preparation charges.
- A minimum deduction of 10% of the total advance amount shall apply.
2.2 After Project Commencement
Once project activities have started, including but not limited to:
- Requirement gathering
- Discovery workshops
- Architecture discussions
- Project planning
- Design activities
- Development work
- Technical consulting sessions
No refund shall be applicable for work already performed.
The Client shall be liable to pay for:
- Completed milestones
- Time and effort already consumed
- Third-party expenses incurred on behalf of the Client
3.Non-Refundable Services
The following payments are strictly non-refundable:
- Consultation fees
- CTO as a Service retainers
- Technical audits and assessments
- Architecture reviews
- Cloud assessments
- AI strategy workshops
- Discovery and requirement analysis sessions
- Proposal customization efforts
- Training and workshop fees
- Digital marketing setup fees
- SEO setup activities
- Domain registration charges
- Hosting charges
- SSL certificate charges
- Third-party software licenses
- API subscription fees
- Cloud platform expenses
4.Subscription and Retainer Services
For monthly retainers, including CTO as a Service, Digital Marketing, SEO, Managed Services, and Advisory Services:
- Either party may terminate the engagement by providing thirty (30) days written notice.
- Payments already made for the current billing cycle shall not be refunded.
- Services will continue until the end of the paid period.
5.Software Development Projects
For fixed-price or milestone-based projects:
- Payments made against completed milestones are non-refundable.
- If the Client chooses to terminate the project midway, G Systems shall invoice for all work completed up to the termination date.
- Source code, deliverables, and documentation corresponding to paid milestones shall be handed over to the Client.
6.Delay or Suspension by Client
If the Client delays project activities, approvals, feedback, access, or required inputs for more than thirty (30) consecutive days:
- G Systems reserves the right to place the project on hold.
- Resource availability may need to be rescheduled.
- Additional charges may apply for reactivation and resource reassignment.
Refunds shall not be applicable in such cases.
7.Third-Party Costs
Payments made toward third-party services are non-refundable, including:
- Cloud hosting providers
- Domain registrars
- Payment gateway providers
- SMS gateway providers
- WhatsApp Business providers
- Email service providers
- Advertising platforms
- Software subscriptions
- Security certificates
- Government fees
Such charges are governed by the respective vendor policies.
8.Cancellation by G Systems
G Systems reserves the right to terminate services if:
- The Client violates contractual obligations.
- Payments remain overdue beyond agreed terms.
- The Client engages in unlawful activities.
- Required cooperation or access is not provided.
In such cases, work completed up to the termination date shall be billed and payable.
9.Refund Processing
Where a refund is approved:
- Refund requests must be submitted in writing.
- Approved refunds shall be processed within 15–30 business days.
- Refunds shall be issued through the original payment method wherever feasible.

11.Policy Updates
G Systems reserves the right to amend this Refund and Cancellation Policy at any time. Updated versions shall be published on the company website and shall become effective immediately upon publication.
